Introduction

If the functionality GATHER has been activated, you can set a gather location and a time margin per department group where employees are expected to gather before starting their shift.

As soon as a shift is scheduled from a department group with a gather location and a gather time margin, the gather time is automatically calculated when creating your project. This will also be visible to your employees in the application.

To use GATHER, navigate to CONFIGURATION via SETTINGS in the menu bar. At the bottom of the page you will see gather NO/YES, where you can enable this function.

On a project, you can recognize gather time by the following icon:

In each department group in DEPARTMENTS, after selecting the pencil icon, you will now find a GATHER LOCATION tab where you can enter and save gathering settings for each department group.

  1. Gather address: Enter the address where the employees are expected to assemble before the start of their shift (here more about entering addresses in CrewPlanner).

  2. Gather Name: Give the location a known name for the employees, like 'Head Office'.

  3. Gather Margin in minutes: Indicate here how long before departure to the project site you would like employees to be present at the gathering point.

The travel time from the collection address to the project address is calculated automatically. Based on this calculation and the collect time allowance, the total collection time will be calculated.

Gather time on a project

Once you have set up Gather time and a Gather location for a Department Group, this will automatically be added to your shift line when creating shifts for a project.

Once you have saved and created the project, you will also find this on the details page of your project.

If you hover your cursor over the gather time, a pop-up will appear with information about the gather location and time.

When you assign employees to one of these shifts, the gather location and time remain visible.

Again the additional information will appear if you continue to place the cursor over the collection time.

Adjust gather time per employee

You always have the option to adjust the automatically calculated gather time for a project by editing the project via the pencil icon.

The last field next to the scheduled employee is the total margin of the gather time, so the gather margin and travel time together. If necessary, you can adjust this manually for each employee, but do take the necessary travel time into account.

CrewTip! If you make a bulk selection of the scheduled employees, you have the option to adjust the gather time margin in Bulk:

As soon as a worker is scheduled for a shift for which a gather time and location has been set, this becomes immediately clear on top of the detail page of the project shared with the employee.

If the employee selects the name of the gather location in the app, a route planner will start to this gather location.
